Important expertise and practical knowledge are scattered across various storage locations, specialized systems, documents, emails, personal notes, and employees. As a result, information can be difficult to find, may not be clearly up to date, or may be heavily tied to specific individuals. Particularly in complex and rare cases, as well as during staff turnover, there is a risk that knowledge will be passed on only incompletely. The existing Drupal Wiki offers a digital platform, but it has not yet been utilized comprehensively for knowledge management.

The study was conducted as a qualitative case study. Eight employees from various roles and departments were interviewed using guided interviews, and their responses were analyzed. In addition, internal documents, internal filing structures, and the features of the existing Drupal wiki were analyzed. The results were linked to approaches from the knowledge management literature. Based on this, a knowledge management concept, a wiki prototype, and specific recommendations for MFK BL were developed.

The study shows that MFK BL already possesses extensive knowledge. However, this knowledge is not consistently structured, centralized, or accessible independent of individual employees. Challenges exist in particular with regard to searching for information, keeping documents up to date as well as managing document versions, maintaining content, and sharing practical knowledge.The developed knowledge management concept therefore aims to specifically identify and prioritize critical knowledge, review and make relevant content available, and establish clear responsibilities and regular reviews. The Drupal Wiki is intended to serve as a central reference point and is not meant to completely replace existing specialized systems and repositories. Practical knowledge should also be preserved through personal handoffs, case discussions, or expert debriefings.A prototype in the Drupal Wiki demonstrates how selected knowledge content can be structured, linked, searched, and reviewed. AI-supported features might be added at a later stage once a verified and well-maintained knowledge base is in place.
