Marti Arc Jura SA relied on a manual leave request process using paper forms, scans and emails. This system was inefficient, consuming nearly a third of HR's time and lacked transparency, leading to lost requests, approval delays and frustrated employees. For on-site workers without computer access, even obtaining a form was a challenge. The fragmented process posed significant risks to planning and overall business continuity, highlighting the need for a modern and centralised solution.
This project used a qualitative case study methodology focused exclusively on Marti Arc Jura. Through semi-structured interviews with key stakeholders (from on-site workers and foremen to construction site managers, directors, and HR staff), the existing "as-is" process was systematically mapped and analysed. This approach allowed for the identification of critical bottlenecks, risks and specific user needs, forming a robust foundation for designing a practical and user-centric digital solution tailored to the company's unique operational environment.
The result is a conceptual framework for a digital leave request workflow implemented within the company's existing mobile platform, Beekeeper. The new process is simple, transparent and accessible to all employees via their smartphones. Key features include: - Automated routing: eliminates manual forwarding and clarifies responsibilities. - Real-time tracking: employees and managers can see the status of any request at any time. - Improved logic: HR verifies leave balances before manager approval, preventing wasted effort. - Digital audit trail: ensures compliance and eliminates the risk of lost paperwork. For Marti Arc Jura, the primary benefit is a significant increase in operational efficiency, drastically reducing the administrative burden on the HR department. The solution enhances transparency, improves the employee experience and provides reliable data for better workforce planning. This project serves as a successful pilot for future digitalisation, creating a more agile and modern organisation.
