Debrunner Acifer AG aims to improve their maintenance management by introducing a cutting-edge maintenance software system. Our team successfully conceptualized and tested the TOM software, delivering several additional consulting strategies to support and guide its future implementation.

Since 2019, Debrunner Acifer AG has used Outlook for maintenance scheduling after their previous planning system failed. This led to inefficiencies, limited asset visibility, and budgeting challenges. To find a better solution, Debrunner Acifer AG assessed whether the 'TOM' software met their requirements. Our project was tasked with testing, implementing, and developing a scalable rollout plan for the Debrunner König Group, while addressing integration challenges with legacy systems and ensuring staff training.
We adopted an Agile project management approach, dividing the project into 7 sprints to ensure flexibility and continuous feedback. Tools like Jira and Confluence were critical for task tracking & documentation. Initial phases focused on understanding the clients needs, risk analyses, and defining system architecture. We attended TOM training sessions and configured the system to meet requirements. Regular meetings ensured consensus, and iterative testing allowed for identification & resolution of issues. Our project delivered a robust foundation for Debrunner Acifer AG’s maintenance management. Key achievements included the successful configuration & testing of TOM in Birsfelden. We created a detailed asset hierarchy. The new system we tested provides real-time visibility into equipment status, automates scheduling, and managing documentation processes, improving inefficiencies from the previous Outlook-based approach. Additional training sessions and detailed manuals were created, enabling staff to efficiently use the system and reducing dependency on external support. While certain features, such as API integrations and QR code functionalities, were deferred due to time constraints, the client expressed high satisfaction with the delivered outcomes. Our proactive communication and flexible project management approach created a strong relationship with the client. An implementation partner was provided by the Software company, as to alleviate difficulties with the rollout. Despite not fully completing the initial scope of the project, the outcome exceeded expectations in certain areas, enabling Debrunner Acifer AG future success in maintenance management and digitalisation.
