Evaluating and Implementing an Automation Process for Internship Registration at BSc IBM using Microsoft Power Platform

The process for the registration and evaluation of internships at the bachelor program in International Business Management trinational (IBM) at the University of Applied Sciences and Arts Northwestern Switzerland (FHNW) is characterised by numerous manual steps. While functional over the years, the processe presents an opportunity for improvement through automation. The manual steps become increasingly burdensome due to time constraints within the IBM administration. Furthermore, the increasing number of internship companies has resulted in challenges in maintaining an effective overview.
This thesis commenced with an evaluation of the feasibility and effectiveness of automating the process with the Microsoft Power Platform tools. Following the favourable outcome of said evaluation, a literature review was carried out to collate information. Subsequently, a requirement analysis was carried out in an effort to ascertain the needs and expectations of the students and the IBM administration with regard to the new process and the automation. Once the requirements were defined, the process automation and a data report with visualisations were designed, developed, and tested.
This thesis resulted in two main components: process automation and the Power BI report. The automation was successfully developed to a state ready to be used. With automation, the previously manual and time-consuming process has been transformed into a more efficient one, automating repetitive tasks, reducing manual errors, and saving time for all stakeholders. Automated data collection and processing ensure consistent and reliable data. The Power BI report provides comprehensive visualisations of the data collected in the automated process, resulting in informative dashboards that offer an overview of the most important information. The connection to the data source ensures that up-to date information is always available. Overall, the implementation of automation and the Power BI report will result in a substantial increase in efficiency and quality in the process of registration and evaluation of the internships.
