Evaluate the communication tools at a leading European digital company
A leading European digital company initiated this project with a group of students to evaluate their communication tools in use. The focus of the project was to conduct an as-is-analysis, to research on best practices and to provide recommendations to improve their current way of using the tools.

The company uses a variety of communication tools, including Slack and Notion. However difficulties with Notion's information retrieval and communication overload in Slack hinders employees' productivity. The purpose of this project is to evaluate the present tool usage through an As-is-Analysis in order to comprehend current workflows. The project group will make suggestions to improve communication workflows, handle obstacles, and optimize tool integration for increased productivity by investigating best practices for Slack and Notion.
The analysis was based on information from employee surveys, observations by the project team, existing documentation from the company, exchange with the client, research papers and online blogs. The strengths, weaknesses and opportunities of each tool as well as potential integration possibilities were described. A comprehensive search for best practices has been conducted to encounter the challenges they are facing. With the variety of primary and secondary data the Project Team could reflect the current way of working and suggest recommendations, e.g., how other companies are working.
The findings are the outcome of a comprehensive as-is analysis that involved observations and employee surveys. It is recommended that the company adheres to best practices, including tactics such as Continuous Channel Auditing to reduce the number of channels, optimizing notification settings to reduce overload, and creating a employee playbook.
It is advised that the company uses Key Performance Indicators (KPIs) in line with their communication objectives to guarantee continuous progress. Frequent evaluation of these KPIs will guide future improvements and offer insights into how well the adjustments that have been introduced have worked.
It is essential to optimize the integration opportunities available within the current toolkit. This entails promoting smooth data transfer across tools such as Slack, Notion, and Jira. Enhanced integration fosters a more collaborative work environment by reducing manual work and increasing overall efficiency.
The company is additionally encouraged to examine any potential tools found during research. If considered appropriate, adding additional technologies might improve their ability to collaborate and communicate even better.
