Enterprise Content Management in a Cinema Chain

This thesis addresses the enterprise content management of a Swiss cinema chain. In day-to-day business, the head office and the several cinema sites need to communicate and share information. For many years, content was handled and stored in the same way on SharePoint and internal communication mainly happened through email. A lack of content management with a higher concept behind it often made it difficult to find relevant information. Content management and communication based on MS Teams and SharePoint shall be implemented to enhance the collaboration between the different parties.
Literature research on content management topics, implementation challenges, and agile project management provided the basis for the project. Through several meetings and discussions, requirements from different stakeholders were captured and the theoretical concept was formulated based on those insights and presented to the teams. Different activities necessary to reach the objectives were defined in the planning phase. For the implementation, an agile approach was chosen to consider changing requirements and new inputs and to increase user involvement through incremental development.
The folder structure in SharePoint is now reorganised to represent departments and functions of employees rather than textual categories of documents. This facilitates the allocation of responsibilities to maintain up to date content. Out of three preexisting cinema-teams on MS Teams one was removed, allowing a clear handling of user access rights for the two remaining teams. Different channels in MS Teams replaced emails as main communication platform between the cinema sites and the head office departments. Through the channels, communication happens more structured and efficient, and a differentiation is made between short-term information, tasks, and business information. For employees which are yet unfamiliar with MS Teams, trainings and guidelines are provided. An agile approach proved to be a good method choice to implement the concept because it allowed responding to changes more quickly and increased user engagement and acceptance of the new system. At the end of the project, MS Teams is established as main platform, opening the door to use the potential the vast availability of additional applications has to offer.
