Business process challenges in a growing SME: A qualitative case study

The paper moves from specific issues to a more underlying challenge and sheds light on an aspect that is rarely discussed. The SME starts to face challenges that big companies solve with large budgets, yet solutions like that are not feasible at this stage.

The initial assignment was to shed a light on the perceived issues the company faced. The focus was to gain insights into underlying challenges. To keep the scope reasonable but still get a somewhat holistic view of the state of the company an emphasis was put on the current state of business processes.
A qualitative interview was done with 6 individuals with a wide range of functions. The questions involved topics from processes to more general issues and suggestions of improvement. The interviews were then transcribed and coded. Emerging themes were induced, and general root causes started to show. The finding of themes was done in multiple iterations by unifying codes that had a connection. The themes were grouped and compared to the interviews, resulting in insights. These insights were then used to formulate an approach to solve underlying issues the company faces.
The interviews showed a variety of topics that need to be addressed. Specifically, standardization in a broad sense to ease and streamline variations. A need for data distribution as well as communication internally and externally was mentioned. A specific challenge was the estimation process. It’s connection to so many factors, making a standard approach difficult. Related to that topic was a pricing and offering strategy that is being addressed but doesn’t have a clear answer yet. A need for a clear vision was mentioned by a few interviewees. The next topic of interest was structure. Giving clarity to employees in certain cases. Usually, the structure was clear regarding the daily business, but certain cases require more information. The overarching conclusion of the paper was to address the issues at a fundamental level. Implementing small and effective changes rather than a big transformation. There is a stark contrast to the high-level approach of the paper to solving the issues and the practical need of the business. The suggestion is to combine the daily challenges with a strategic long-term approach to futureproof the business, while navigating the daily business.
