Development of a Framework for the Digitalisation of Business Processes

KIGA Baselland is an organisation that works on a high volume of requests efficiently and to a high quality standard. Although the underlying processes are being questioned and optimised iteratively, the aim of this project was to raise 4 processes to a higher level of agility and digital maturity.

KIGA Baselland has a number of established processes and procedures that have been shaped by time, budget and the responsible employees. The focus of this project was kept on the processes that could be further optimised and simplified if needed. The main goal was to shorten the delivery time, reduce bottlenecks and maximise overall performance. Some of the processes required additional research as the know-how details were retained by the responsible employees.
The current situation analysis was performed after the first customer meeting, using gathered information, documentation provided by KIGA Baselland and online surveys that were carried out among employees.The findings were summarised in As-Is analysis together with Process Landscapes that reflected the company's working structure and main processes. A few criteria were selected for processes evaluation. The 4 processes were chosen as the most important and open for improvements. To capture their details interviews with responsible employees were conducted and used as a basis for BPMNs.
Result: BPMN diagrams were created to depict the processes, break them down into steps and display possible optimizations. Additional comments were added to BMPNs to clarify the certain points and bring them to the customer's attention. Those BPMNs were included into the Handbook that contains all the information gathered throughout the project. Every step and every deliverable was documented there including surveys, process documentation and analysis, interviews results and other outputs. This Handbook is a detailed guideline that aims to help KIGA Baselland in the future if similar projects arise. Benefit: As KIGA Baselland is constantly evolving, boost of processes performance is always relevant. Hence, the customer might use analysis and accumulated data gathered in the Handbook for further planning and workflow development. It could help to avoid pitfalls, overcome challenges and smoothen the overall procedure. BPMN models show how the processes could be enhanced and simplified. Those recommendations are made in a form of suggestions for improvements, the final decision of how to use and implement them are left to the customer.
