Concept of change management for implementing a new intranet tool at Franke Group

Franke Group needs a concept for smooth change management within the given corporate culture concerning the new intranet tool. The change management concept should be based on a literature review and focused on the people side of the change considering the global environment that Franke operates in.

Franke is currently utilizing Atlassian’s Confluence Server as a global intranet solution. However, since the current Confluence Server product is running out of service in 2023, Franke has conducted a software evaluation in order to identify if the recently chosen SharePoint solution fulfils all the relevant business, technical and security requirements. Since the partner for the migration phase has been chosen, for the next phase Franke is interested in a change management concept based on a literature review to assist employees’ acceptance of the new tool.
Different change models with the criteria to focus on the people side of the change were researched and analyzed. Based on the selected change management model, two scenarios were outlined. In addition, a third model was developed based on an interview with the current partner for the analysis phase of the migration. Finally, evaluations of each scenario based on the time and financial costs incurred and the achieved results were conducted. Each scenario was evaluated individually and then measured against the alternatives followed by a personal recommendation by the author for the application of a solution concept.
Based on the research and the problem analysis, a framework was selected for identifying the different change management scenarios. Three in depth scenarios for the application of change management tools and procedures during Franke’s migration process were outlined. Furthermore, best practices and lessons learned in change management were provided. Finally, an evaluation of each scenario with a specific criterion and with regard to advantages and disadvantages was conducted. The result of this evaluation was a recommendation of the scenario that includes high internal employees’ engagement with the support of an external partner.
