This Swiss hospital employs more than 4’000 people and relies on more than 100 intranet department pages for operational information, internal services and organisational guidance. These pages developed over time and common standards, structures and communication practices vary considerably. Stable information can disappear in news feeds, while outdated content can remain visible. The upcoming SharePoint migration creates the opportunity to improve not only the technology, but also how information is organised and maintained.

The study is based on a literature review of relevant concepts and research on intranets, information organisation and internal communication. In addition, eleven semi-structured interviews were conducted across clinical, nursing, service and central functions at the hospital. A technical expert interview and an external reference case from another large Swiss hospital provided further practical perspectives. The findings were analysed and translated into a practical concept for department pages and news.

The study shows that department pages do not all serve the same purpose. Some support daily operational work, others provide internal services or organisational orientation. A single inflexible structure would therefore not fit all units. The proposed concept combines consistency with flexibility. It defines mandatory and optional page elements, offers a decision framework for choosing between stable page content, department news, direct communication or combinations of these formats, and sets minimum responsibilities for ownership, review and maintenance. The central conclusion is that better intranet communication depends not only on SharePoint functionality, but on clear decisions about where information belongs and who keeps it up to date. The concept gives the client practical guidance for creating and reviewing department pages while maintaining enough flexibility for different needs. A pilot across departments with different page purposes, followed by usability testing and employee feedback is recommended before wider rollout.
