BVB currently manages project initiatives using standalone Word documents stored on an outdated SharePoint system. This setup leads to inefficiencies, fragmented workflows, version control issues, and compliance risks. The reliance on manual processes creates silos and increases administrative overhead, making it difficult to support an expanding portfolio of projects. To address these challenges, BVB requires a modern, integrated digital solution to streamline and centralize its construction project initiation process.
A structured evaluation process identified Microsoft PowerApps, Power Automate, and SharePoint as the best-fit solutions. The project developed a customized PowerApps application to replace the Word-based workflow, automated key processes using Power Automate, and centralized document management on a modern SharePoint platform. Features include automated notifications, role-based access, and real-time collaboration. feedback from stakeholders ensured alignment with BVB’s specific requirements.
The new system eliminates inefficiencies by unifying project management tools within the Microsoft ecosystem. Automation streamlines approvals, notifications, and task tracking, significantly reducing manual workload and errors. Real-time collaboration improves decision-making and data accuracy, while role-based access ensures security and compliance. Documents are now centralized on a modern SharePoint with robust version control, improving accessibility and organization. The proposed solution integrates seamlessly with Microsoft Teams, creating a unified platform for project updates and communication. By addressing critical pain points and aligning with BVB’s goals of operational efficiency and modernization, this system paves the way for scalable, future-ready construction project initiation process. BVB benefits from increased transparency, reduced administrative overhead, and improved stakeholder engagement.
