Making better use of the digitalisation potential in a small NGO

Digitalisation in non-profit organisations does come with its own issues and challenges. How can a small Swiss non-profit organisation improve their ICT landscape and enhance the engagement of its members?

A small Swiss non-profit organisation that has abolished its physical offices relies on virtual collaboration forms and uses various SaaS ICT tools to achieve this. Although various tools are used, hiccups in specific administrative processes remain, interrupting workflows and making them tedious. Furthermore, the central office employees and the central board mainly use the ICT tools. Members outside these two organisational bodies are only partially integrated and reluctant to use the tools provided.
An analysis of the ICT tools has been carried out to identify weaknesses and risks. The tools have been compared based on how well they integrate with other tools within the ICT landscape, the costs they produce per year and data privacy aspects. In order to identify the issues regarding members of the organisation being reluctant to use the tools provided, a survey has been made among active members. The survey aimed to discover the members' needs regarding communication, engagement, ICT tool usage and digitalisation in general.
The analysis of the ICT landscape does lead to the conclusion that the degree of digitalisation is relatively high since various tools are used to support the tasks and processes within the organisation. However, the issues of process hiccups are present because the tools used are all standalone with varying degrees of integrability. This circumstance can come from the fact that the tools may have been chosen based on their functionality without considering how they can be integrated within the ICT landscape. The survey results express that members of the organisation possess a higher need for communicating and engaging with other members within the organisation. Although the current degree of digitalisation is viewed as relatively high, the amount of ICT tools used is deemed high, particularly for less digitally literate members. Two solutions have been presented to the client. Nextcloud Hub and MS 365. These two solutions combine the functionality of multiple current ICT tools and thus can streamline the ICT landscape
